Requirements

  • 4-year college degree and/or HSD
  • A desire and ability to utilize digital tools for organization information, individual, and teamwork.
  • Audiovisual Integration experience is a plus, however is not required.
  • Strong leadership, diplomatic and motivational skills including the ability to lead up, across and down multiple business organizations.
  • Accomplished and proven critical thinking approach to issue resolution, problem solving and solution development, drawing upon business acumen and perspective gained from experience, ability to understand the “big picture”.
  • A desire and ability to understand the diverse needs of internal and external customers, and to create experiences and deliver services that exceed their expectations. 
    Must have excellent written & oral communication skills, and strong interpersonal skills, specifically how to distil issues, manage client expectations, act as a trusted advisor and communicate in a timely manner under pressure.
  • Ability to read, analyze, and interpret general business communications and contracts.
  • Strong technical aptitude: ability to quickly learn new technologies, software programs and procedures.
  • Site work job conditions are like typical construction projects. Hard hats, safety vests and glasses and steel toed boots may be required on specific job sites.

Responsibilities

  • Maintaining and monitoring projects on NetSuite, D-Tools, and PlanGrid. Including following up on equipment eta’s, updating info, change orders, and tasks.
  • Completing project tasks by set due dates.
  • Works with Procurement team to confirm equipment will arrive on time for installation.
  • Follow all internal processes.
  • Send scheduling requests as needed for all Installation Techs, Programmers, Network Specialists, Training Specialists, Certification Team, Warehouse, and third-party Installers. 
  • Organizing, attending, and participating in meetings including filling in for the PM when they are unable to attend. 
  • Schedules Kick off Meetings with all appropriate attendees and assist the PM with taking notes.
  • Documenting and following up on important actions and decisions from meetings.
  • Review/ Approve tech timesheets on a weekly basis. 
  • Providing administrative support as needed.
  • Ensuring all documentation is maintained appropriately for each project and saved into the client folder. 
  • Submits internal and external change orders upon request and sends out proposals to PM/ Management. Includes following up on approvals and updating change order phase on NetSuite.
  • Occasionally accompany the PM on site walks and take descriptive notes.
  • Sends per diem and travel requests.
  • Assess project risks and issues and provide solutions where applicable.
